Metaview integrates seamlessly with Ashby. This makes it possible for Metaview to automatically capture scheduled interviews in Ashby so we can provide AI-generated summaries and autofill your Ashby interview scorecards.

Setting up Ashby integration

To set up an Ashby integration, you will need to be a Company Admin of your company’s Ashby account.
  1. First you will need to Generate an Ashby API key. Sign in to Ashby and visit Admin in the top navigation bar. Go to the Integrations section.
  2. Select API Keys and then + New.
  3. Give your new Metaview API key the permission scopes Read All and Candidates Write.
    • If you want to Metaview to sync calls with candidates and job marked as _confidential _in Ashby, then you will also need to select Allow access to confidential jobs and projects.
  4. Navigate to Integration Setting page on your Metaview acccount and select Ashby https://my.metaview.app/settings/ashby. If you haven’t previously signed up for a Metaview account, you will be prompted to go through our onboarding flow. Image
  5. Paste the API Key you generated earlier into the corresponding field. Click Test API Key.
    • If the test is successful, click on Save to begin the integration process.
    • If the test is not successful, double-check that the Key you have enter is valid and has the necessary permissions listed above. If you are sure the Key is valid, you can opt to proceed anyways and attempt to connect the API.
  6. After saving your changes, the integration process will start. This can take up to 48 hours to complete, and you will be emailed once the integration is successful.

Ashby features

Integrating your Ashby ATS to Metaview unlocks the following features:
  • Automatic scheduling directly from your ATS
  • Employees sync
  • Ability to submit your scorecards from Metaview
  • Ability to post your notes to ATS
  • Data enrichment of Call details in Metaview (e.g. candidate name, job title, stage, location)
  • Automatic addition of links to Metaview notes in ATS
  • Provide Access to calls for users with Recruiter and Hiring Manager roles in ATS
  • Use AI Sourcing to search through your ATS for potential candidates, and add new candidates to your ATS.
When a call was scheduled through Ashby or was matched to data in Ashby, you will see the Ashby logo in Metaview. Click on the Ashby logo to go to the matched entry in your ATS. Image

Scorecards

The scorecard will be available whenever Metaview successfully matches your call to an Ashby interview that includes a scorecard. Click on Fill scorecard (if available) to see the relevant Ashby feedback form for your call. Metaview does not automatically submit your Ashby Scorecard on your behalf. When you are happy with your Scorecard, click Submit Feedback to have it logged in Ashby. Image
You can check if Metaview has matched to an interview by following the Ashby link on the interview page. If this link does not go to a URL containing interview-briefings, then Metaview has not matched the call to an interview.
Metaview automatically fills in parts of your Ashby scorecards based on what was said in the interview. However, some fields are intentionally left blank. If a field is too vague, or prompts personal evaluation or subjective judgment, Metaview will skip it to avoid making assumptions and ensure accuracy. Metaview does not evaluate candidates or make hiring decisions, and we want to avoid influencing the interviewer’s assessment by prefiling these types of fields.
To improve the relevance of what is auto-filled, make sure your scorecard headings and field descriptions are as clear and specific as possible. For example, instead of “General Thoughts,” try “Candidate’s Communication Style (with examples).”

AI Sourcing

It is possible to add candidates you have found with AI sourcing to your Ashby instance. The only prerequisites to this are the following:
  • You have the Metaview-Ashby integration set up, as detailed above
  • You have added a Metaview source to Ashby. This is so that candidates sourced through Metaview can be attributed correctly.
With the Metaview-Ashby integration it is possible to use AI sourcing to find candidates already in your Ashby data. To enable this feature on your Metaview account, just contact support@metaview.ai and ask for the AI Sourcing - Ashby integration to be enabled.

Troubleshooting

When a call was not scheduled through Ashby, Metaview will still attempt to match your calls scheduled by other means to relevant entries in your ATS. The most common reasons why this doesn’t happen automatically are:
  • Call or candidate is missing in the ATS
  • Duplicate calls or candidates in the ATS
  • Data mismatch between Metaview invite and information in ATS (e.g. wrong participants, missing participant, wrong candidate)
  • Insufficient information to match call or candidate (often occurs when using Inviting to an ongoing call or Upload recordings options)
If you believe that a Metaview call was not matched or was incorrectly matched to your ATS data, please reach out to support@metaview.ai and provide as much data as possible for our team to properly investigate. Please provide specific examples and the relevant IDs (e.g. application ID, candidate ID) from your ATS.
