Unenrolledtab, ready for you to enroll. Nobody is contacted until you enroll them. - Progressed stage: where candidates move in your ATS when you progress them.
- Rejected stage: where candidates move in your ATS when you reject them.
- Rejection email template and default rejection reason: used when candidates are rejected. Email templates come straight from your ATS, and you can override both on individual rejections.
… menu next to the screen and select Edit. From there you can rename the screen and update the progressed stage, rejected stage, rejection reason, and rejection email template.
Metaview also keeps your ATS up to date as candidates move through screening: a note is posted to the candidate’s profile when their interview is evaluated and when a decision is made, and every invitation email is logged against their record.
Invitation Emails
Enrolled candidates receive an invitation email with a personal link to their interview. You configure it in the screen’sOutreach tab:
- Subject and message: fully editable, with variables for things like the candidate’s first name, the job title, your company, and the deadline.
- Branding: upload your logo to replace the Metaview logo at the top of every email and on the candidate’s welcome screen.
- Cc / Bcc: copy your team on every email sent to candidates.
- Opt-out link: optionally add an
Opt outlink to the email footer so candidates can decline AI screening. Opted-out candidates receive no further emails. Some jurisdictions give candidates the right to opt out of AI-assisted processing, so we recommend enabling it — see Screening Best Practices.
Send test email to receive the invitation yourself and check it reads the way you want.
Deadlines and Reminders
TheScheduling & deadline card controls the timing of everything the candidate receives:
- Send invitation: immediately when a candidate is enrolled, or after a delay of 1 to 14 days.
- Deadline to complete: how long candidates have to finish the interview, from 1 to 14 days after the invitation, or no deadline at all.
Interview Language and Voice
Each screen has one interview language, and the interviewer conducts the whole conversation in it. Pick the language and the interviewer’s voice in theSetup card of the interview builder, and use Sample to hear a voice before committing. A wide range of languages is supported, including English (US and UK), Spanish, French, German, Portuguese, Hindi, Japanese, and Chinese.
Permissions and Sharing
Who can see a screen depends on your role in Metaview and your ATS:
Screens can also be shared directly. Click
Share on a screen to invite specific teammates or generate a link, with access limited to invited people, anyone in your organization, or anyone with the link.
Whoever created the screen receives an email each time a candidate’s interview is assessed, with the rating and a summary. Teammates with access to the screen don’t receive these emails — they can check results in the app.

Check the candidate’s
Outreach column first: Not invited means they haven’t been enrolled yet, or the invitation is scheduled to send after a delay. If they show as Invited, the Opened column tells you whether they’ve opened the email or their link. Candidates who opted out of AI screening receive no emails. If none of this explains it, ask the candidate to check spam, or copy their personal invite link from the … menu and send it to them directly.The rejection email came from the wrong person

The sender is determined by your ATS, not by Metaview. In Greenhouse, update the sender in the rejection email template settings. In Ashby, rejections are sent from the system no-reply address and cannot be changed from within Metaview.

Invite links stop accepting new starts once the deadline has passed. Candidates who already started can still open their link to resume. If you’d like a candidate to still take the interview, extend or remove the deadline in the
Outreach tab and publish the change — their link starts working again.
