This page covers the setup and configuration needed to get Application Review working with your ATS, including permissions, rejection emails, and team access. For an overview of how Application Review works, see Application Review Overview.

ATS Setup

For Application Review to be able to progress and reject candidates on your behalf, Metaview needs a few additional permissions beyond the standard integration. See Greenhouse, Ashby, Gem, Lever, Workable, Teamtailor and SmartRecruiters for details.
Please note that the Gem ATS integration doesn’t support syncing of application rejection.

Rejection emails

When you reject candidates through Application Review, the rejection email is sent through your ATS (not from Metaview directly). A few things to know:
  • Template and reason: You select defaults during setup, but you can override the rejection email template and rejection reason.
  • Timing: Rejection emails are sent automatically on a weekday morning, within two days of the status change. The timezone used for send timing may vary depending on your ATS — Ashby uses the workspace default timezone, while Greenhouse uses the timezone from your Greenhouse account settings. This timing is not customizable at this time.
  • Sender: The sender is controlled by your ATS, not by Metaview. To change the sender, update it in your ATS settings.

Permissions and Sharing

Who can see and act on an Application Review depends on your role in Metaview and your ATS.

How it works with your ATS

Metaview syncs hiring team membership directly from your ATS. The roles that appear in Application Review are determined by which jobs you are on the hiring team for.
In Ashby, Metaview determines access based on hiring team membership, not Access Roles. If a job doesn’t appear in Metaview, ask your Ashby admin to add you to the hiring team for that role.

Sharing reviews

Reviews can also be shared with other team members the same way notes can be. Shared users get access to the review regardless of their ATS permissions.

Troubleshooting

I can’t reject or progress candidates

Your ATS API key likely does not have the required POST permissions. See the ATS Setup section above and check that the Advance Application and Reject Application permissions are enabled on your Metaview API key.

I see closed or irrelevant roles during setup

Application Review should only show open roles from your ATS. If you are seeing closed or archived roles, try refreshing the page. If the issue persists, contact support.

The rejection email came from the wrong person

The sender is determined by your ATS, not by Metaview. In Greenhouse, update the sender in the rejection email template settings. In Ashby, rejections are sent from the system no-reply address and cannot be changed from within Metaview.
