The gap between “the hiring manager told me what they want” and “a pipeline is running against exactly that” is usually two weeks of fragmented setup. This skill closes it in one sitting: the intake conversation becomes the single source of truth, and every artefact derives from it — interview plan, note templates, search criteria, inbound triage, tracking.
Requires: the AI Notetaker (for the intake and interviews). Each downstream phase needs its own product — Sourcing, Application Review, Reports. The skill degrades gracefully: it builds what your workspace has, skips what it doesn’t, and tells you which is which.

Why it matters

The two weeks after an intake call are where searches quietly go wrong — the JD says one thing, the interviewers assess another, sourcing calibrates to a third, and nobody notices until the debrief. Capturing the requirements once, from the hiring manager’s own words, makes consistency structural rather than a discipline problem.

What it builds

1

The role brief — your source of truth

Distilled from the recorded intake call, or from a JD plus ten minutes of questions covering what JDs never say: ranked must-haves versus nice-to-haves, seniority band, compensation, target companies, red flags, interview stages and owners, first-year success criteria.
The skill shows you the brief and takes corrections before building anything else. This is the moment to get it right.
2

Interview plan and note templates

A template per stage, with sections mapped to the must-haves plus motivations and housekeeping. Section descriptions are written as complete instructions, including “only include what was actually discussed — write ‘Not discussed’ otherwise”.The high-leverage option: if your team submits scorecards in your ATS, the skill can mirror the scorecard’s exact headings as template sections — so interviewers transfer notes field by field. Factual sections are filled from the transcript; subjective ones are left for the interviewer with a one-line evidence recap.
3

Sourcing search

A kickoff brief composed from the role brief. Runs asynchronously while the other phases continue; the proposed ICP comes back for you to review and lock.
4

Inbound triage

If the role takes inbound and you have Application Review, the skill compares any existing criteria to the role brief and proposes an aligned revision — or gives you the ICP text to paste for a new one.
5

Target-company research (optional)

A feeder-company map for the role and geography, delivered as a follow-up and fed back into the search criteria.
6

Tracking report and weekly pulse

A report filtered to this role’s conversations, reusing existing AI fields where they exist. Plus an optional weekly pulse: interviews held and scheduled, pipeline movement, calibration state, what candidates are saying, and the one thing to fix this week.

Safeguards built into this skill

  • One plan, one confirmation. The skill presents the full launch plan and takes a single go-ahead for the package — then re-confirms individually for live or irreversible actions: replacing existing Application Review criteria, posting to your ATS, or emailing candidates.
  • Never invents the hiring bar. Everything traces to the intake source. Where the intake was silent — compensation band, interview stages — it asks rather than filling the gap.
  • Templates use non-evaluative phrasing throughout. Sections capture what was said; the interviewer adds their own assessment. See Best practices for Notes for why this matters.
  • Checks before duplicating. If a search or review already exists for the role, it proposes refining rather than creating a second one.

How to use it

“We just did the intake for a Senior Platform Engineer in Warsaw — set the whole thing up.”
“Launch the Engagement Manager role: templates mirroring our Ashby scorecard, search, and a tracking report.”
“Relaunch the Head of Finance search — it’s been stuck for a month.”The skill starts by reading what already exists — the old search’s feedback history, the report’s signal, past interviews — and leads the plan with what changed.
“Here’s the JD for our first US AE. Build the kit, start sourcing, and give me a Monday pulse.”With no intake call and no JD, the skill asks you the intake questions itself — ten focused minutes beats launching on guesses.
