# During The Call Overview

> What the notetaker does on the call, and what participants see

Metaview joins a video conference the way a person does — as a visible participant that the host admits, can see, and can remove at any time. This page covers the behaviour that's the same across every platform. ## What participants see

The notetaker appears as a guest participant named after the organization that invited it — for example *Dunder Mifflin's Metaview Notetaker*. That makes it clear to everyone on the call that the conversation is being captured, and by whom.

Admins can change the displayed name under **Bot name** in [Workspace settings](/account-management/workspace-settings). Organizations on the Enterprise plan can add their logo as well.

The bot cannot be hidden or minimized for everyone at once — like any participant, it's visible to all. That's deliberate: a visible participant is a standing reminder that recording is taking place. We recommend [telling candidates in advance](/account-management/privacy-and-security/notifications) that Metaview may join, and disabling it before the call if anyone objects.

## Joining and being admitted

Metaview joins autonomously, typically **up to 2 minutes before** the scheduled start time.

If your platform's settings hold guests in a waiting room or lobby, the notetaker waits there and sends an admission request to the host. **It captures nothing until it is admitted.** A host must admit it **within 5 minutes** of the scheduled start time, after which it gives up and leaves.

The most common reason a call isn't captured is that nobody admitted the notetaker in time — often because the person on the call isn't the meeting host, or the meeting link was created by a scheduling tool whose account holds the host role. Each platform page explains how to change the relevant settings so bots are admitted automatically.

  If the bot has already timed out of the waiting room by the time you get there, don't reschedule — use [Ongoing calls](/notes/capturing-calls/ongoing-calls) to send it back in immediately.

## Staying on the call

The notetaker stays until all participants have left, the host ends the meeting, or there's no audio for an extended period.

If a meeting starts late — even with people present but muted — Metaview leaves after **5 minutes with no audio detected**, on the assumption the meeting isn't happening.

  If you're waiting on a call, unmute briefly and say something so the bot detects audio. More than 5 minutes of silence at any point may cause it to leave.

## Removing the notetaker mid-call

Two ways, both immediate:

* **From the meeting.** A host selects the bot, opens its `⋮` (3 dots) menu, and removes it from the call.
* **From Metaview.** Interviewers and account admins can open the ongoing call's `⋮` (3 dots) menu on their [home page](https://my.metaview.app/) and select `Remove bot`. The bot leaves within about 30 seconds.

If you remove the bot at the very start of a call, Metaview won't process any notes for it.

## After the call

Once the bot leaves, Metaview transcribes the conversation and writes your notes, normally ready within **5 minutes**. Calls shorter than one minute, and calls where no attendee spoke, aren't processed.
