# Capturing Calls Overview

> Every way to get Metaview onto a call — and which one to use

Before Metaview can write your notes, it has to be on the call. There are five routes, and which one you want depends on how much you want to think about it.

  Most teams run on automatic scheduling and keep manual invites for the exceptions — client calls on someone else's calendar, or a conversation that came up at short notice.

## What every route needs

Whichever way Metaview is invited, a call has to meet a few conditions before the notetaker will join:

* The calendar event needs a valid **video conference link** or **phone number**. Metaview supports [Google Meet](/notes/during-calls/google-meet), [Zoom](/notes/during-calls/zoom), [Microsoft Teams](/notes/during-calls/ms-teams), and [Webex](/notes/during-calls/webex).
* **At least one invited participant** needs a Metaview account. For automatic scheduling, that person also needs their **Capture status** enabled.
* The relevant scheduling method is **enabled in your workspace preferences**. See [Workspace settings](/account-management/workspace-settings).
* Metaview needs enough notice: **30 minutes** before the start time for automatic scheduling, **15 minutes** for manual invites. For anything shorter, use [Ongoing calls](/notes/capturing-calls/ongoing-calls).

## Automatic scheduling

Connect [Google Calendar](/integrations/calendar/google-calendar), [Outlook Calendar](/integrations/calendar/outlook-calendar), [Calendly](/integrations/calendar/calendly), or your ATS, and Metaview schedules itself for matching events. Filtering rules control which events qualify, so team syncs and personal appointments stay out of it.

## Manual invites

Add `notes@bot.metaview.ai` as a guest on the calendar event, or click `Add` on the event in Metaview's calendar widget.

  When you add Metaview to a calendar event, choose the option to **send the invite/update email**. If you select "Do not send", Metaview never receives the invitation and your call won't be scheduled.

## Joining a call in progress

Paste the meeting link on your [Metaview home page](https://my.metaview.app/) and the notetaker joins within a few seconds. Use this for calls already underway or starting in the next five minutes.

Note that Metaview won't assign participants automatically when invited this way, and only the person who added it initially gets access. See [Ongoing calls](/notes/capturing-calls/ongoing-calls) and [Participants](/notes/participants).

## Phone calls

Phone capture works differently: Metaview never dials into a call on its own. You register your number, then either click `Phone candidate` on a scheduled conversation for one-click calling, or dial the Metaview switchboard and reach the candidate through it.

## Calls Metaview wasn't on

You can still get notes from a conversation Metaview didn't join:

* [Upload a recording](/notes/capturing-calls/upload-recordings) — an audio or video file, individually or in bulk.
* [Import a transcript](/notes/capturing-calls/import-transcripts) — a transcript from another tool; Metaview generates Notes from it.
* [Record from your browser](/notes/capturing-calls/record-from-browser) — useful for in-person conversations, using your laptop's microphone.

## Confirming a call is scheduled

Check the **Upcoming conversations** section on your [Metaview home page](https://my.metaview.app/). A call Metaview intends to join carries a **Scheduled** tag; one that has been opted out carries **Won't join**. If a call isn't listed at all, Metaview isn't coming.
